To optimize and digitalize the used car sales process, we developed a comprehensive back-office system for one of the largest automotive sales companies. The system covers the entire lifecycle of a vehicle transaction – from vehicle acquisition to finalizing the offer, signing the contract, and managing all related documentation. In addition to its core operational functionality, the system includes a reporting and business analytics module that supports data-driven decision-making.

Challenge

Used car sales involve multiple stages and stakeholders – from vehicle acquisition and valuation to calculating additional costs, preparing offers, and generating the required documentation. Before the system was implemented, the process was fragmented across different tools, while reporting was limited, delayed, and often inaccurate, making it difficult to effectively manage profitability and performance.

Solution

We developed a centralized system that automates and tracks the entire back-office sales process, complemented by dynamic reporting and KPI monitoring capabilities. Key functionalities include:

  • Vehicle acquisition process management, including initial vehicle data and condition records

  • Automated calculation of pricing, additional costs, and expected profit/margin

  • Offer creation and tracking with clear visibility into financial performance

    • Sales statistics by period, team, and margin

    • Average profit tracking by vehicle type or region

    • Offers in progress and average time to close

    • Interactive management dashboards for different levels of the organization

  • Integration with the company’s ERP system, ensuring seamless synchronization of data and processes

Results

The system significantly improved the efficiency of the back-office teams, reduced the time required to prepare and approve offers, and provided full traceability throughout the sales process.

Through the reporting module, management gained access to accurate, timely, and visually accessible insights into departmental performance, market dynamics, and achieved margins. This enabled better planning and more effective control over business performance.
